Terms & Conditions

These Terms and Conditions apply to all quotations, bookings, enquiries and travel-related services arranged by BGB World Travel. Please read them carefully before we process your quote or making a booking.

By proceeding, you confirm that you understand and accept these Terms, together with any applicable Inteletravel and Supplier Terms and Conditions.

1. Our Role

BGB World Travel acts as an independent travel agent affiliated with InteleTravel. We arrange travel services provided by independent third-party suppliers, such as tour operators, airlines, hotels, cruise lines, transfer providers, sports package providers and other travel service providers. We do not own, operate or control those services.

Your contract for travel services is normally with the relevant Supplier or organiser, not BGB World Travel. Supplier Terms and Conditions apply to your booking and will take precedence where they conflict with these Terms.

2. Quotes, Bookings and Acceptance

Descriptions, prices and availability shown on our website, social media, brochures or other communications are for information only and do not create a binding contract. A booking is only confirmed when the relevant Supplier accepts it and written confirmation is issued.

You are responsible for checking all names, dates, destinations, prices, travel documents and booking details as soon as they are received. You must tell us immediately if anything is incorrect.

3. Client Responsibilities

You must provide accurate information for all travellers, including names, dates of birth, contact details, passport details and any relevant health, accessibility or special assistance requirements. You are also responsible for ensuring that all travellers meet passport, visa, health, vaccination, insurance, check-in, baggage and conduct requirements.

For group bookings, the person making the booking acts as the lead name and confirms that they have authority to act for every traveller in the booking, including any traveller under 18 where they have parental or guardian authority.

4. Supplier Terms

Each Supplier has its own terms covering matters such as payment schedules, cancellation charges, amendment fees, luggage, check-in, health requirements, documentation, passenger conduct and events beyond the Supplier’s control. By booking, you agree to comply with all applicable Supplier Terms.

If Supplier Terms are requested, we will provide them where available or explain where they can be obtained. Failure to comply with Supplier Terms may result in denied travel, cancellation, extra charges or loss of refund entitlement.

5. Fees, Prices and Payment

Prices are subject to availability and may change until confirmed by the Supplier. Any quotation remains valid only for the period stated in the quote, or for seven days if no period is stated, unless withdrawn sooner.

  • A £25 non-refundable quote administration fee applies to bespoke quotes. If you proceed with the booking, this fee is deducted from the final booking price unless we tell you otherwise in writing.

  • A £25 cancellation administration fee applies to client cancellations, in addition to any Supplier cancellation charges.

  • BGB World Travel may charge a £25 administration fee for complex amendments, in addition to any Supplier amendment fees.

  • Where a deposit is required, it is non-refundable and non-transferable unless the Supplier Terms or applicable law state otherwise.

Payments for travel services are normally made directly to the Supplier or through the InteleTravel booking system. BGB World Travel does not normally hold client funds. BGB World Travel may use secure third-party payment providers to collect administration fees or other charges payable directly to BGB World Travel. Any such payment provider may process payment details in accordance with its own terms, privacy notice and security procedures.

6. Cancellations, Amendments and Refunds

All cancellation and amendment requests must be made in writing. Supplier cancellation and amendment charges apply and may be up to 100% of the booking cost, depending on the Supplier Terms and the timing of the request.

Refunds are processed according to Supplier Terms and applicable law. We will assist with communications, but we do not control Supplier decisions or refund timescales.

Where UK package travel law applies, your rights to refunds, alternatives, compensation or termination without a cancellation fee will be determined by the Package Travel and Linked Travel Arrangements Regulations 2018 and the relevant Supplier or organiser terms.

7. Package Travel and Linked Travel Arrangements

If your booking qualifies as a package under the Package Travel and Linked Travel Arrangements Regulations 2018, the organiser must provide the required pre-contract information and applicable insolvency protection details. For flight-inclusive packages, ATOL protection may apply and an ATOL Certificate should be provided where required.

If your booking is a Linked Travel Arrangement, you may not receive the same level of protection as a package holiday. We will provide the relevant information where required and explain which trader is responsible for each service.

8. Travel Insurance

Under Travel Regulations, we cannot confirm a booking until Travel Insurance is purchased either through our recommended Travel Insurance partners or we have proof of purchase from your own Insurance.  If you choose not to purchase suitable insurance before confirming booking, you accept responsibility for any losses not otherwise recoverable from the Supplier, insurer, regulator or other responsible party and will declare you understand the liability of losses by completing and signing our Insurance Waiver form.

Insurance should cover cancellation, medical emergencies, travel disruption, Supplier failure, lost or delayed baggage, missed departures and any specific activities or circumstances relevant to the trip.

 

9. Changes, Disruption and Events Beyond Control

Travel arrangements may be affected by events beyond our or the Supplier’s reasonable control, including weather, strikes, operational disruption, public health restrictions, natural disasters, government action or other force majeure events. We will assist where reasonably possible, but any rights to alternatives, refunds or compensation depend on Supplier Terms and applicable law.

10. Liability

BGB World Travel acts as agent only and is not responsible for the acts, omissions, failures, delays, cancellations or service standards of Suppliers. Your remedy for Supplier failure is normally against the Supplier, organiser, insurer or relevant regulatory body.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or statutory rights that cannot legally be excluded.

11. Complaints

If a problem occurs during travel, you must report it to the Supplier immediately and contact us as soon as possible so we can assist. Formal complaints should be submitted in writing within 28 days of return unless the relevant Supplier Terms require a shorter period.

We will handle complaints fairly and within a reasonable time. If the complaint relates to a Supplier’s service, we may need to pass it to the Supplier, organiser, trade body, regulator or alternative dispute resolution scheme.

12. Privacy and Data Protection

We process personal data in accordance with UK data protection laws. We may use personal data to respond to enquiries, provide quotes, arrange bookings, process administration fees, communicate with you, manage complaints, meet legal obligations and support customer service.

Personal data may be shared where reasonably necessary with InteleTravel, Suppliers, payment providers, insurers, professional advisers, regulators and other parties involved in arranging or supporting your booking. Some Suppliers may be outside the UK, and international transfers will be handled in accordance with applicable data protection requirements.

13. Governing Law and Jurisdiction

These Terms and any non-contractual matters are governed by the laws of England and Wales. If you are a consumer living in Scotland or Northern Ireland, you may also have the right to bring proceedings in your local UK courts where mandatory consumer law allows this.

14. Acceptance

By requesting a quote, paying a fee, making a booking or otherwise proceeding with our services, you confirm that you have read and understood these Terms, accept any applicable Supplier Terms, and understand that mandatory UK consumer protections continue to apply where they cannot lawfully be excluded or restricted.
